Managing employee data efficiently is crucial for streamlined operations. In Take5β„’ Connect, importing and exporting employee details allows you to manage your workforce more effectively. This guide will walk you through the steps to import and export employee information. πŸ‘‡


Step 1: πŸ”‘ Create a CSV Document to Import Employee Details


Before importing, create a CSV document either on Microsoft Excel, Google Sheets etc., that includes the following details for each employee:

  • Name
  • Email Address
  • Mobile Number
  • Country Code (e.g., NZ, not the number)
  • Position
  • Address (optional: Street name & #, Suburb, City, Post Code, Country)

Once you’ve created the CSV, you can import it into Take5β„’ Connect.


Step 2: πŸ“€ Import Employee Details


1. To import your employee list, go to the Employees tab in the left-hand menu.
2. Click on the Import button at the top of the page and then click Employee. Then you will be asked to Select and Upload your CSV file.
3. Choose the CSV file you’ve created and click Upload.


Step 3: πŸ› οΈ Map CSV Fields to Take5β„’ Connect Columns


Once your CSV is uploaded, you’ll need to map each header from the CSV to the corresponding field in Take5β„’ Connect.


For example:

  • Name maps to Full Name.
  • Email Address maps to Email.
  • Mobile Number maps to Mobile.

If there’s any missing data, select Ignore for that field.


Step 4: πŸ”„ Configure Import Options


You can enable additional options before importing:

  • Treat the first row as headers: Turn on if your CSV file has headers.
  • Send email notifications: If enabled, employees will receive an email with their login details.

After configuring, click Import Employees to complete the process.


Step 5: πŸ“€ Export Employee Details


To export your employee list, go to the Employees tab and click the List Menu/Export button at the top of the page.


Select Export All to CSV. The system will generate a CSV file containing all employee details.

If you experience issues:

  • Ensure the CSV file is correctly formatted.
  • Double-check that all required fields (Name, Email, Mobile) are filled.
  • Refresh the page if changes do not reflect immediately.
